Options for Enhancing Administration
Our objective here is to facilitate and ensure the efficiency of back office operations. We propose doing this by developing new tools and enhancements to existing functions.
Provision of a sophisticated reporting suite. Drag and drop EXCEL Pivot style reporting. Rich dynamic dataset manipulation to arrive at the data required. Cut by various fields of choice e.g. time period / member status / endorsed etc and aggregation.
Automated pre-authored reports and templates. Automatic distribution to specified audiences e.g periodic audit reports. Archived time snapshots.
Currently an invoicing spreadsheet is sent to Finance for the purpose of generating invoices to be sent out to members. It is important that the Finance system still operates in this capactity. However what we propose here is the automatic generation of the same invoices via the BASIS Dairy Pro system (it is using exactly the same data afterall).
The members receive automated notifications via email with a link to view their invoice. This is all done automatically at the requisite time of choosing. We can track when a member has viewed their invoice. After perhaps an initial reminder then latterly a physical printed copy could be posted (or on request of course) In this way we hope to reduce time spent posting and postage costs.
Upon registering enough points to reach endorsed status the system will automatically produce and send a pdf BASIS Dairy Pro Endorsement certificate to the member. Certificates will be held in the member's area availble for download at any point subsequently. The certificate format will be a formal, professional presentation incorporating the BASIS Dairy Pro branding and relevant signatory.
Linked into the member section there will be a dedicated documents repository and notifications for new members to get them started and acquainted with BASIS Dairy Pro. Logged in the site might also present an interactive overlay tutorial on the site as the new user navigates through with narration and pop-ups and animations to guide.
Expansion of the training organisers section. Encourage entry of further qualitative information about the training organisation e.g. about section etc. Allow for self administration of details and contacts. Provide information on events listings.. snippet preview with read more linking to full public acing training provider profile pages to raise status and promote events further.
Provions to allow Organisers to predefine frequently used locations to pre-fill event applications addresses and venue fields.
Adapt points submission form to better capture information from users for their self certified points submissions. In the case of events this will be a drop down (as you type) list of events for them to choose from which will automatically pull through details. For other types a wizard will be implemented to guide the user and make certain information mandatory.
Adapt signup form and wizard to illustrate the benefits of Business Group Membership and encourage that particular route.
